This creates duplicated effort, format drift between clients, and higher risk of human error (wrong date ranges, mismatched accounts, or outdated charts), while also limiting your ability to scale beyond ~20 active clients without adding overhead.

We will build two automations using n8n (or Make.com) as the workflow orchestrator, connecting HubSpot, Google Workspace (Drive, Sheets, Gmail), Asana, Slack, and reporting data sources. For onboarding, an n8n workflow will trigger on HubSpot deal stage change to Closed Won, create a standardized Google Drive folder tree, spin up an Asana project from a template with assignments, and send a Gmail welcome email containing a branded intake form link (Google Form or a more structured tool like Tally/Typeform). Submitted intake responses will be written to a structured database (e.g., Airtable or a dedicated Google Sheet) and used to update HubSpot properties, while missing fields trigger automated Slack reminders and a follow-up sequence. For reporting, a scheduled n8n workflow will run every Monday to pull metrics via connectors such as Supermetrics (to Google Sheets) or direct APIs where appropriate (Google Ads API, Meta Marketing API, GA4 Data API, LinkedIn Ads API). Data will be normalized into per-client tables, KPI calculations applied, and charts/templates generated (Google Sheets + Slides template, or Looker Studio export). An LLM step using OpenAI or Anthropic can draft weekly insights from the metrics with guardrails, then the workflow posts the draft report to a Slack QA channel with approve/reject actions. Upon approval, the system emails the final PDF, logs delivery in HubSpot, and stores the report in the client Drive folder with consistent naming and retention.
